Terms of Use & Privacy Notice

This notice explains what the Agent Desk is, what data lives inside it, how that data is protected and used, and what every user agrees to by signing in. It is written in plain language on purpose. It is a working policy, not legal advice — Gold Standard Brokerage should have licensed counsel review it before treating it as final.
1. What this platform is
The GSB Agent Desk is a private, internal business tool operated by Gold Standard Brokerage ("GSB," "we") for its licensed insurance agents and staff ("users," "you"). It is used to manage leads and clients, prepare quotes, track production, schedule follow-ups, and train agents. It is not a public service and is not offered to consumers.
2. Who may use it
- Access is limited to users individually authorized by GSB. Accounts are personal and may not be shared, and credentials must be kept confidential.
- You must change your starter password on first login and use a password you use nowhere else.
- GSB may suspend or remove access at any time, including immediately upon separation from the brokerage.
3. What data the platform holds
- Consumer information you enter: names, phone numbers, emails, state/ZIP, ages, household sizes, approximate income, health-coverage needs, quotes, policy and premium details, and your notes about conversations. Some of this is nonpublic personal information under insurance privacy laws, and health-related details deserve the highest care.
- Your account information: name, work email, team, production totals, and compliance records such as terms acceptance.
- Operational data: login events and timestamps kept by our infrastructure providers for security.
4. How consumer data may be used — and how it may not
Consumer data in the Desk exists for exactly one purpose: serving that consumer's insurance needs through GSB — quoting, enrolling, servicing, retention, and required record-keeping. By using the platform you agree that you will not:
- Export, copy, photograph, or share client data outside the platform except as needed to serve that client (e.g., a carrier application);
- Use client data for any personal purpose, for another business, or after leaving GSB — the book of business and its records remain subject to your agreements with GSB;
- Sell client information or share it with third parties who are not part of servicing the client;
- Contact consumers in violation of telemarketing and texting laws — texts and calls must honor consent, identification, time-of-day, and opt-out rules (TCPA and state equivalents). A STOP is permanent.
5. How data is protected
- Row-level security in the database: each agent can read and write only their own clients and leads. This is enforced by the database itself, not just the interface.
- Leaderboards show totals only. Other agents see names, teams, and production figures — never client information, and never anyone's compensation.
- Carrier credentials are private to their owner — not visible to admins or anyone else.
- Encrypted in transit and at rest. The site is HTTPS-only with strict transport security; the database (hosted on Supabase, in the United States) encrypts data at rest. Passwords are stored only as salted hashes.
- Least privilege administration. Administrative access is limited to designated GSB leadership and used for supervision, compliance, and support.
6. Third-party services
The platform relies on a small set of processors: Netlify (site hosting), Supabase (authentication and database), and — only if you connect it — Google (calendar sync for your own follow-up events; the platform requests calendar-event scope only and never reads your email). Links to carrier portals, HealthSherpa, Ringy, and training video hosts (YouTube, Vimeo, Loom) take you to those companies' own services under their own terms. GSB does not sell user or consumer data to anyone.
7. Your responsibilities as a user
- Enter only accurate information, and only what is needed to serve the client.
- Keep your device secured (lock screen, current OS, no shared logins) and sign out on shared machines.
- Report a suspected breach, lost device, or account compromise to GSB leadership immediately.
- Follow all applicable laws and carrier rules, including state insurance regulations, privacy obligations for nonpublic personal information, and marketing-communication laws.
8. Consumer rights & record requests
Consumers may ask what information GSB holds about them, request corrections, or ask for deletion where the law allows (records that insurance regulations require us to keep will be retained for the required period). Route any such request to GSB leadership — do not handle it ad hoc.
9. Monitoring, accuracy, and availability
- GSB may review activity on the platform for supervision, security, and compliance purposes. Use of the Desk is consent to that review.
- Quotes, rates, and projections shown in the Desk are estimates for internal use — always verify against carrier systems before presenting final numbers to a consumer.
- The platform is provided as-is; GSB may change or discontinue features at any time.
10. Changes to this notice
GSB may update this notice; the version and effective date at the top will change, and users will be asked to re-acknowledge material updates at next sign-in. Continued use after an update is acceptance.
